Scenario
You are about to complete a week’s work experience in a company of your choosing. In this time the business has asked you to help them investigate the use of information and communication and suggest some ways in which they could improve internal business information. To help with this you will keep a log recording details about the ways in which the business communicates information and the reasons why.

Scenario
You are about to complete a week’s work experience in a company of your choice. In this time the business has asked you to help them investigate the use of information and communication and suggest some ways in which they could improve internal business information and the reasons why.
During the work experience, you will have completed an audit of communication, you, now need to present this explaining the different types of information being used, where the information originates from and the purpose of the information. (P1) Analyse the difference types of information and their sources. Use the data collected from your business in P1. (M1)
Look at the information collected from the business and evaluate the ways it had been used to make decisions, you need to look at marketing decisions and financial decisions.
Evaluate 2 sets of information, which have been used to make strategic decisions. (D1)

You now need to present the advertising information that you have collected from the business in three different ways, you have been asked to: Produce and present a Powerpoint Presentation, which describes the success of the business Create a leaflet about the business explaining to the employees, the importance of sales in a business Produce a written report on what the information shows about the business, this needs to be suitable for the senior management

The three pieces you create must be suitable for the audiences it is aimed at.
In groups of 3 or 4, give a presentation using PowerPoint on an area of your chosen organisation describing information use within that area.
Each presenter in the group must present a different area e.g. if one person presents marketing in their organisation then the others in the group need to choose another area.
You will have written in your report for P1 the area of information use that you now must give a presentation about. In that part of the report you should include specific information gathered from the organisation with some form of interpretation by you e.g. a graph or table explaining the information.
During the presentation and in the report you will need to indicate the nature of intended users or audience of this information in the business itself.

Task 2 (P3, P4, D2)

Looking at the corporate communications of your chosen organisation, you now need to produce two types of communication showing information about one of its products or services.
You could produce an advert, poster or leaflet, but it needs to be aimed at the business customers and potential customers. (P3)

Look at two current corporate communications, such as an advert, poster, leaflet, logo or packaging and evaluate them as means of communication. (P4)

Using the information you have collected from your selected business, with regards to the business information and communication, evaluate its effectiveness as a key contributor to the success of the business. You need to give examples to illustrate your points, by comparing your business to other businesses.
You must consider the following:
Presentation methods to meet the needs of the users: e.g. document, use of style, verbal presentations, role plays, onscreen multi-media presentation, use of images, web-based presentation, multi-lingual support
Output requirement: e.g. resolution of images, page layout, text formatting, use of tables, combining information from a range of application, use of specialist software and hardware
Presenting corporate communication: methods, mission statements, advertising, packaging, logos, livery, strap lines, endorsements, and sponsorships. (D2)

Using the policies on ethical issues explain how your chosen company is dealing with these issues and how they are meeting current legal requirements. (P5)

Using the information gathered, explain how the company deals with operational issues with business information, including keeping information secure, the health and safety issues associated with the information management, developing of new systems to manage information, the need for more complex software and staff training.

You must consider the following:
Legal issues: relevant data protection legislation e.g. Data Protection Act 1998, Freedom of Information Act 2000, other relevant legislation, e.g. Computer Misuse Act 1990.

Ethical issues: code of practice, e.g. on use of email, internet, ‘whistle blowing’ organisational policies; information ownership.
Operational issues: security of information; health and safety, organisational policies, business continuance plans, costs, e.g. additional resources required, cost of development, impact of increasing sophistication of systems, e.g. more trained personnel, more complex software. (M2)

You must consider the following:
Audience requirements: e.g. age, gender, ethnicity, special needs, readability, legibility, attention span, accessibility, interest, distraction avoidance, business experience and knowledge, industry – related experience and knowledge.
Methods of written communication: e.g. letter, memorandum, fax, invoice, flow charts, publicity material, email and screen based, SMS (short message service)), www (worldwide web).
Method of non-written communication: e.g. telephone call, video conferencing.
Technologies: computers; touch screen, digital broadcasting, DVD (digital versatile / video disc) mobile phones, the internet and WAP (wireless application protocol).
Communication skills: formal / informal; verbal / non-verbal, listening, understanding, seeking clarification, responsiveness, eye contact, facial expressiveness, body language, use of appropriate professional language, ability to adapt communication techniques to audience requirements, presentation skills ability to invite commitment to shared goals.
