Avoid Miscommunication
Most of what is said and done on a daily basis at work is open to various interpretations, as we often assume out thoughts and behaviours are transparent, when in fact they are far from it.
Miscommunication in the workplace is bound to leave behind a track of wrong impressions, unfulfilled goals and disappointed people. For this reason, sharpening your communication skills is not something you should leave to chance in your career.
From handling insignificant disagreement between coworkers to giving presentations, those who gain the most respect and achieve the greatest success in their careers are consistently the best, most effective communicators. This essay will provide some practical advice to help minimize the chance of misunderstandings and make your communications in the workplace more effective.
Most people think they are good listeners when in fact all they do is pause to think about what they are going to say next.
Good listening means clearing your mind of distractions and truly listening to what the other person has to say. Ask questions that get to the bottom of someone’s real concern. Only then can you have a good conversation. If what was said sounds vague to you, restate what you think you heard and inquire about it. Doing so will help avoid any unnecessary misunderstandings.
Communication is tough. It is even tougher with those who do not speak your language. Do not do the typical mistake of talking slowly and loudly, assuming people will understand you. If you do not deal with this communication barrier properly, you risk problems such as reduced productivity and poor morale. When communicating a message to employees who do not speak your language, choose appropriate wording and pause before and after significant words to make sure you are on the same page.

Email is often the number one method of communication both internally and externally; yet employees to this day still fail to use it the right way. When it comes to writing emails, the same rules of good verbal communication apply, especially when it comes to external emails. Be clear about the purpose of your message and what you hope it will achieve. The more you stray from the focal point, the less likely people will read it until the end or remember it. Sending an email without a subject can also be frustrating for people who use the keyword search function of their inboxes. Use a unique subject line to inform recipients of the main reason for the email. You will also benefit as it will be easier to find the message when searching for it yourself.
Using the phone to make arrangements or resolve minor issues can be very effective as the tone of the conversation is more easily understood than less personal forms of communication.
However, since body language is not conveyed, this can lead to miscommunication. Any time you are involved in a phone call make sure that you have no distractions at either end. Difficulty hearing what is said has been known to cause more problems during phone calls than any other issue. Make sure you schedule your phone calls for times when you know you will not have any background distractions.
