Business letters are an important communication tool. It is the medium through which all business queries or proposals are made with the stakeholders of the organization. The stake holders include all those who are interested in the running of an enterprise.
The broad purpose of most letters is to inform, request or persuade, but letters do much more. Unlike telephone conversation or other oral communication, letters provide written records often serve as contracts. Beyond these broad functions letters can enhance or diminish a firm’s image. The firm that answers all correspondence courteously, promptly and concisely enhance its image.
No doubt telephonic communication is widely used in business dealings, yet the need and importance of letters cannot be denied. In view of growing horizons of business and increase in large size of organizations, the role of the instruments of communication, specially letters has become all the more important and unavoidable. Telephones, telex, fax, and other modern facilities are not available everywhere. Moreover, they are not cheap and cost a lot.
The ability to write such letters is undoubtedly one of the most important accomplishments which the student of commerce can possess. A business letter aims at performing one or more of the following functions for an enterprise:
