The different input sources identified are listed below:-
Ad Hoc requests for supplies from management.
Planned requests, as per budget and approval, from staff.
Need to replenish stock of some recurring items.
Lowering levels in stock warehouse of some items.
Requests from Management for personnel.
Regulatory requirements for specific items, for example in terms of quality.
Directions/policies/procedures from management.
Budget figures for each department requesting supplies.
Output
The different output produced:-
Medical equipment bought and delivered.
Spare parts for medical equipments.
Provision of personnel whether administrative or medical and whether permanent or temporary.
Raw materials for canteen.
Drugs/vaccines.
Office stationery.
Reports to management.
Transformation
The processes transforming the input into output are listed below:-
Process requests for supplies.
Identify suppliers.
Negotiate price.
Negotiate contracts.
Process applicable taxes.
Check approved budget.
Choose best supplier.
Place order.
Process payment.
Follow-up on delivery.
Arrange for tenders.
Send requests for proposals.
Accept delivery and arrange for distribution or storing in warehouse.
Feedback
The feedback received from management, quality assurance, internal and external audit, suppliers, the public through media and the community health agencies, is considered by the staff of the Supply system to adjust on the input and/or the transformation processes in order to bring about changes in the output produced.
