In response to your memo concerning the importance of ASPEN and the tasks associated, you requested to hold individual conversations with employees with documentation concerning the use of ASPEN credits to support availability expectations. However, in completing this task, I noticed discrepant information between the report, ASPEN and EPR.
In an attempt to understand why we were seeing differences in reports/systems, we spent time understanding gaps associated with the information. The report you addressed in your attachment, noted 13 individual employees within the non-rating team with 100% availability. Clearly indicating the employees were not entering data into ASPEN as instructed, however ASPEN/EPR showed a different picture. We identified formula changes/corrections to the report changing the overall picture of availability.

We have talked individually to each employee concerning the correct method of entering the data into ASPEN and the ramifications. The common theme noted during discussions noted they understand how to post information and why they should post information into ASPEN but they correlated that activity to taking action associated with the claim once the claim was approved/ready for completion. Since we had discrepancies within the reports and mentor activities associated with the reports, they voiced concerns taking points when they were not mentor reviewed. Since that appeared to be the same overall theme, we sent an email to “all” the non-rating team members, today. Although we met individually with the employees who currently reflect below average availability rates, we can place the email correspondence in their respective folders or we can add the email correspondence to “all” non-rating team members folders if you so
