Introduction
Riordan Manufacturing is a global plastics manufacturer employing 550 people with projected annual earnings of $46 million. The company is wholly owned by Riordan Industries, a Fortune 1000 enterprise with revenues in excess of $1 billion (Riordan Manufacturing, 2012).
The COO Hugh McCauley is requesting that a more sophisticated, state of the art information system technology be integrated with their current HR system into one single application. In order to achieve the best results for this project, we would need speak with our clients and interview people within the organization, see the existing system and how it works and what types of problems they are currently having.
Gathering Information
Gathering information we should have access to all people in the user area, there will not be a need to interview all so we will create a list and divide it into three sections. We will interview the most senior manager and have him/her supply us with a list of individuals to speak to. It is vital to interview this person at the start of the project. obtain an overview of the user area, an overview of the functions performed by that area, and an idea of how the area fits within the overall structure of the organization and its activities (Modell 2007).
We will also interview the senior manager subordinates and junior managers along with line workers and support staff.
The junior managers have been promoted through the ranks, and will retain, if not current information about the area activities, at least some of the historical perspective as to how and why the area performs some of its activities and how they have changed over the years.
In addition they can provide additional detail as to any problems, the reasons for those problems, and suggested ways to resolve them. Line workers and support staff actually perform the detailed tasks of processing, manufacturing, data gathering, or reporting. It is their tasks that the automated systems are ultimately intended to perform or augment. For this reason it is mandatory that the analyst thoroughly understand not only what they are supposed to do, what they actually do, how they do it, and why they do it (Modell
2007).
Key factors
The key factors that ensure the information is gathered successfully are the team members they must have the right skillset and be able to work together. Communication is also an important key factor to make this work; if your team is unable to communicate effectively then project will suffer. You will also need to clearly document project milestones and deliverables, you will need a valid and realistice time-table, a detailed resource requirement and another important aspect is to be able to keep the project team focused and be able to brief status of the project on a regular basis.
What is project scope?
Project scope is when you establish a project timeline, setting goals and allocating resources; this will help you define your work and what’s needed to be done. When defining the project scope you must first identify the following things:
Project objectives
Goals
Sub-phases
Tasks
Resources
Budget
Schedule
Once you've established these things, you'll then need to clarify the limitations or parameters of the project and clearly identify any aspects that are not to be included. In specifying what will and will not be included, the project scope must make clear to the stakeholders, senior management and team members involved, what product or service will be delivered (CIO 2014).
