Activity 1: Determine the purpose of documents
Scenario
You work for a financial planning organisation that manages thousands of client’s portfolios and accounts. Recently there have been several changes in the industry that only affects clients who have share portfolios. For some clients, the changes will have a negative effect on their investments and for other clients, this will mean that they will be receiving good news.
You have been asked to write a document to all clients that asks them to attend an information session regarding the changes that will affect their share portfolio performance.
1. Describe the purpose of this document. (For example, is it trying to persuade or make a proposal?)
The purpose of this document is to provide information on the industry changes and how i twill affect the clients. It may be directed only to clients with portfolios, or addressed to all clients to keep them aware of the industry conditions for investment, however it would need to be very clear who would be affected by the changes.
The document should also detail how those clients that will be affected will be impacted (the nature and extent of impact) and provide those clients who will be negatively affected with options to reduce their losses.
1. Describe the type of audience that the document is aimed at. What should you consider?
The audience would be of fairly mixed background. There would probably be a large portion of retirees, with some younger investors looking to maximise their savings. The retirees would be an older aged group, so the document would need to be formal, simple to understand and very clear in what needs to be done, if at all, by the client.
The clients different backgrounds would require simple language, with consideration that the client doesn’t know anything about the industry and avoiding the use of difficult industry or technical terms.
