In the medical stores of SQUH, 4 of the Operations Management students were assigned to train, 2 male and 2 female. We formed pairs of two and each worked together throughout the entire internship experience.
The training took place in Sultan Qaboos University Hospital Stores Department. For 2 months we went around all the store’s sections and spent a week in each section, as we agreed upon with the training supervisor at the beginning of the training, learning about their work procedures, roles and responsibilities, and activities.
The sections of the store are as follows:
1. Stock Controlling.
2. Receiving section.
3. Laboratory section (LAB).
4. Pharmacy section (PHY).
5. Bio Medical/ Engineering section (BME/HMD).
6. Medical Surgical Supplies section (MSS).
7. Linen section (LIN).
8. Stationary section (STA).
What are the tasks/responsibilities that were assigned to you?
We were assigned to do several tasks during the training, such as:
Stock tacking at the MSS and LAB section (we decided to do it for two sections to observe the differences between them in time taken, help from staff, the ordering of items, and number and size of items).
Issuing items and entering the issue in the system.
Filing of important documentation that has all necessary information and signatures needed.
The whole process of receiving an item (PRV(receive voucher) and LPO(local purchase order)).
Checking items before (at receiving section) and after (at the section that requested the items) receiving them (check the name of maker, batch/serial number, expiry date and shelf life, lots, quantity, condition of item and how was it transported to the store (for example, items that need storage temperature between 2 and 8 degrees use a different type of storage box then the items that are stored at room temperature)).
Making sure suppliers sign off the delivery and get all the documents necessary from them.
