Task I was assigned to revise the old Standard Operating Procedure and compose the new Standard Operating Procedure (SOP) for marketing department. The SOP includes business processes in the marketing department which described in the flowcharts. There are three SOPs that I needed to revise which are:
1. Customer’s satisfaction which are divided into distributor and consumers.
2. SPG training
3. Mock and/or product recall
While there are 2 SOPs that I needed to compose which are:
1. Distributor’s inspection
2. Competitors’ analysis
This task was so sudden and due in less than one week from the external audit period.
Action In revising the old SOP, I reviewed the SOP and find whether the steps are coherent and relevant. There are some steps …show more content…
that I eliminate since I found it irrelevant and some steps that I add to ensure the effectiveness. While in composing the new SOP, I do a research on the internet and read numerous sample of SOPs. After that I combined some SOPs according to the Aneka Indomakmur situation and as simple as possible since it is a “baby step” for the company. Last, I showed the results for approval to my supervisor, Mr. Wibowo, and one of the internal audit team, Ms. Yuanita.
Result Mr. Wibowo and Ms. Yuanita were satisfied with my works. I only needed to make a few minor improvements. They were impressed as I am able to finish the work in a timely manner while performing a critical analysis in improving their old SOPs and writing a comprehensive new SOPs. At the end, Aneka Indomakmur was able to obtain ISO 22000 certification.
Reflect During the project, I realized that understanding the whole business process is important to know whether it is necessary to have a change or not.
However, I also realized that change is not easy especially when the current practice already work nicely. Most of the people have already become comfortable with the old practice and do not want to change. Same case when I propose a revision in the old SOPs. I had to convince Mr. Wibowo and Ms. Yuan to change the old SOP, especially in the mock and/or product recall. I think there was a missing link in the business process, therefore additional steps were needed. At the beginning, they do not want to change because it will increase the workload even though they were agree with my opinion. It was because the SOP need to be filled for the auditing purpose and they will not have enough time to follow the new steps. After several discussion, at the end, we agreed to add a simple step to ensure the connectivity while not increase their workload
significantly.
