Functions of Management
In everyday business operations, the four basic functions of business play a vital role in their success. Businesses need to run smoothly, whether big, small, new or old, and the four functions of management, allows the ability to control preventive measures when handling tactical, planned, and set decisions.
The four functions of management are planning, organizing, leading and controlling. Planning is the foundational function upon which all the other management functions …show more content…
are levied and permits the assessment of current standings and future desired achievements. One of the major goals my corporation is attempting to implement is the cross - training of all employees on multiple GDS (operating systems). Currently most agents are single skilled and this plan will greatly reduce incoming hold times for incoming customer calls while maximizing office productivity and efficiency.
The second function in line is organization, achieved by maximizing the resources necessary in order for the plans to be successful. "The focus is on division, coordination, and control of tasks and the flow of information within the organization. It is in this function that managers distribute authority to job holders" (Barrett, 1999), and adress internal interactions, such as the chain of command. By organizing training times and efficiently balancing training with skilled agent 's availability for calls, so as not to have customers waiting on hold, is a good way my corporation succeeds at organization in an attempt to achieve company goals.
Leading the next essential function of management is one key to making organizations work.
"Good leaders do not tell other people what to do but help others take charge. They do they grab center stage but to nudge others into the limelight. They are not interested in being The Leader, but in trying to create more leaders. Recognizing that only by creating more leaders can the organizing effort expand" (Leading Functions of management, 2009). Leading requires creating an example to follow. Dividing up tasks into manageable portions and the delegation of those tasks ensuring that everyone can complete assigned tasks by providing all necessary resources. Showing appreciation for all contributions no matter how small and welcoming criticism are often difficult for some leaders, but recognition of efforts is important and positively accepting feedback opens up the flow of communication. Boosting self confidence by energizing employees and inspiring trust as people do not follow people they do not trust is as important as maintaining the highest standard of honesty. By avoiding doing most of the work, others will become more involved and leaders will reduce the possibility of burn out for leaders. Two months ago my department loss one of the most efficient leaders I have met in my entire professional career. He believed in team spirit, and gave his team all resources and opportunities needed to grow and succeed. The lack of the iron fist and the ease of communication made him the …show more content…
most trusted of the team leaders in the department, and his ability to motivate was outstanding. But as they say for every loss there is a gain, and his team was temporarily adopted by his manager who is even better at the leading function and I would say excels at all four functions of management.
The controlling function is the last of the basic management functions that involves the comparison of actual versus planned performance, and taking corrective actions when needed to ensure planned objectives are achieved. Monitoring and measuring performance by employees through performance reviews and one on one 's provides both the ability to compare what is happening currently to what should be happening and correcting performance problems as they occur. One on One 's are mandatory in my office on a monthy basis and are used as a measure to inform agents of the performance standings in comparison to others in the department. Twice a year agents are required to write their own performance reviews and the final review at year end is used to determine office ranking and raise of pay. This method of control forces agents to be aware of their actions at all times and allows them to be in control of their own performance.
Being able to multi-task and make decisions whilst frequently switching among the four basic functions of management is what being a manager is about.
All four of the functions are related and the most efficient leaders can evenly balance these skills. "It 's important to remember that planning is necessary to get you off on the right foot, but the best laid plans won 't come to fruition if you are an ineffective leader and if organization isn 't completed and controlling doesn 't take place along the way" (White, 2008).
