Start writing. Use action verbs, avoid a passive tense and write in a conversational tone. Use short sentences, keep the same voice throughout. Avoid using numerous prepositional phrases. Make sure to spell check the paragraph. 4. 4
Print it out and edit. This will allow you to read the paragraph in hard-copy format, which will make it easier to spot mistakes. Make changes to the electronic report as needed. 5. 5
