1.1 Identify different types of equipment and their uses
1.2 - Describe the different features of different types of office equipment At K training, the office equipment mainly used by the staff are the computers, photocopier, printers and the telephone. Computer
In my work placement, I use the computer to email clients and other companies’ information, use Microsoft Word to create documents and certificates for the clients, enter and update information on to databases for the clients and to use the internet to research about other driving companies.
Computers have hardware built into it which is called the central processing unit (CPU). Software is the name given to programs that you install onto the computer which makes the computer perform certain activities. Depending on the memory, computers can store a lot of information electronically and has inbuilt storage capacity which is good for saving documents and information as needing for K Training. Other devices can also be connected to the computer such as:
• USB (Universal Serial Bus)
• Floppy Drive
• CD/DVD Drive
• Memory Card slots
• Headphones
But the main devices that are always connected to the computer are the keyboard, the mouse, the monitor and the printer if not wireless. K training has to save a lot of information in databases so they will have to be using computers all the time.
Photocopier
In my workplace, I use the photocopier to scan other documents straight on to the computer or to scan straight onto paper. It is mainly used to copy documents from A3 to A5 sizes in colour or black and white ink.
There are different features for a photocopier. The photocopier's copy surface is a clear pane of glass which the original document is placed. In order to locate the original work in the appropriate place, you can simply lift the copier's lid and place the work face-down on the copy surface or for documents of multiple pages, a tray-loading system is used
