Before conducting our communication questionnaire I thought that there wasn’t room for improvement but after evaluating the data collected via the questionnaires it’s been brought to my attention that we can actually improve on a few communication methods. The evaluation of the client/family questionnaire it’s clear that the family members only prefer updates about their parents via email and at the moment we do telephone and email depending on which client’s next of kins we are communicating with. They have also stated they would like to be informed by email of all care plan changes. Our current procedure is to only update them on major changes, but we will be changing this to now incorporate minor changes.
Evaluation of the Employee communication questionnaire proved to be accurate and not much room for improvement, it was suggested by a few employees that they would like to have the knowledge of where the care plan folder is kept in new client homes, they prefer to communicate via text which is our current procedure along side a back up email. It was also highlighted that staff would like to have more frequent meetings to be able to communicate with other members of the team who visit the same clients this would enable them to share techniques on how to deal with difficult clients and also share valuable information with regards to that client, in which the office does but they would like to have discussions based around the clients they see on a regular basis. From this information I will now be setting up frequent meetings to discuss client issues, these will take place every 2 weeks starting immediately. I’ve now incorporated a new policy for Communication with Employee. (see attached Communication with Employee Policy & Procedure.
After the evaluation of the Professionals Questionnaire it was discovered that the request for care plan changes via email is currently our procedure and Social Workers are extremely pleased with our communication methods, the only thing they did request was that they wanted to know when we are doing rate increases etc but due to us not know that data ourselves we can’t provide this information, but when that time comes for rate increases I will sure to let everyone know that it affects by sending out a letter 1 month before the rate increases, increase.

Which are different to one another for example if I’m communicating with a client I would use their preferred communication method wherever it would be Makaton or pictorials all depending on which is their preferred means of communication. If I was not to use their preferred means of communication this would cause a barrier and possible upset that that individual. I use emails on a regular basis to get in formation to people that do not work at the home for example occupional therapists, Physios.
