Definition of Problem
Juniper High School has a manual system in place which facilitates the issuing of textbooks to students from grades 7 through to 11. Student records are often misplaced as the filing system is not properly used because of the number of students (600) and the rush on staff to process the requests for textbooks at the beginning of each academic year. Not only are books to be issued but books are also returned at the end of each year and retrieving the records for students is often times tedious as each student record has to be checked and verified. Often times records have to be duplicated due to errors or misplaced student’s records and then this adds confusion once books are given out or returned and the original records resurfaces. Also generally retrieving a record is a difficult task for staff since they have to search through numerous files.
An automated system would eliminate the inability to share information and the time it takes to share relevant information in the manual system. As an example staff from the accounts department might need to verify late fees for a particular student, with the current system in place they would need to call and ask for a copy of that student’s record, which could take hours if not days. With an automated system the person should be able to lookup the student’s record, in the database, in the amount of time it takes to dial the phone.
