Section 1 – Understand how to support the organisation of a business event
1. When organising a business event, describe the range of support activities that may be required.
Business events need to be planned and organised regardless of the size or type of event. The size of the event can range from a meeting with colleagues through to a large event such as a festival that involves hundreds or thousands of people from inside and outside of the organisation. Examples of a business event include festivals, conferences, ceremonies and meetings. In order for a business event to run smoothly, there are activities that need careful planning and consideration. In order to book a venue, ensure that the venue meets the capacity required. The right equipment needs to be provided for the business event, make sure that any audio and visual equipment are in full working order before event and any other equipment for event such as pens and pads have arrived and are stocked for the right amount of people. Check with the owners to ensure that the appropriate licencing and level of insurance are covered for the event, if not arrange the right one for the day or for the duration of the business event. Ensure that any dietary requirements are met when organising the food and drink. Organisers need to ensure that all the relevant documentation is completed and printed and that there are extra copies available.
