Valid information is information that is reliable and correct which can be used for many purposes when it’s needed. An example of information that needs to be valid would be if you are checking the prices for server software for an IT business and the prices listed were wrong then you made plans based on wrong prices which could make the whole plan wrong, so this is a general example when information needs to be valid and correct.
Reliable
Reliable information is information that you can rely on as it’s correct and coming from a valid source. Reliable information needs to able to fit in with other facts you know personally. Information that you can trust would be considered reliable. If you aren't sure about the source, or the person that supplied you with the information you don't trust, then the information would be unreliable.
This is how much you trust the source of the information meaning how valid it will be. For example in an IT Job if you had asked for information on the people that use your computer system and only one person replied and his opinions where widely different from everyone else’s then the information is only applicable to that person making the whole information unreliable.
Timely …show more content…
Timely is another vital characteristic of good information.
Timely information is information that is freely available when needed and can be sent at the correct time as well as up-to-date. If information is delivered before or after a deadline it is not considered to be timely. If a company wants to analyse their current profit and losses then they would need to access the current sales figures and not the sales figures from 10 years ago. For example if you have information on profits form 1946 today that wouldn't be timely. This also means that the information that will be presented needs to be in a way that is easy to understand and use by
everyone.
We can also say that timely information is information that is available as and when needed. For example if a Manager needs to check the sales figures for today, timely information would be information that they could print from a cash register or the servers immediately at any given time during the day.
Fit for purpose
Information that is fit for purpose means that it is relevant to what you needed it for but not all of it. This means that the information collected are usable for the given purpose. For example in an IT job if you had asked for information on the people that use the computer system and you got back their gender that might not help you improve the computer system for its purpose.
Accessible
Accessible information is information that is stored in a way that it can be easily accessed at any time and used straight away. you must be able to do calculations and work out the answers you want from the data, for example if you had the data printed out you would not want to have to type it all in again.
Cost effective
It is information that is worth investing time and money on information (i.e. paying an organization to help obtain information about something, such as surveys for a business) that will benefit the company from it. For example manufactures will look everywhere to find a reliable source which could provide them cost efficient and reliable components to use on their systems.
Accurate
It is information that is needed to be accurate if you are calculating costs, profit or people logging on your computers. You will have accurate information on how much profit is earned and how much it costs the company to run each month as well knowing how many people use the computers and provide better services. Using this information will help the company as they will know their expected monthly expenses and how much profit they earn. This information doesn’t need to be fully accurate because the data could be rounded up.
Relevant
Relevant information is information that is fully useable for the task you need it for not half like fit for purpose. for example if Samsung management asks mobile phone stores on the sales they have made on their products and the mobile phone store gives them another manufactures sales, this will mean nothing to them as they wanted information about their product sales.
Have the right level of detail
When information has been requested the right level of detail needs to be supplied in a simple form that anyone can read and understand it, for example if the business or organisation wants to know who is the employee of the month you can’t get that information from the branch sales totals.
Be from a reliable source
Obtaining information for a business purpose means that you must obtain the information from a reliable and trust worthy source. If you wanted information about the population of Wales then using Wikipedia might not be seen as being 100% reliable because it’s an editable website and you may not be 100% confident in using this source. However, if you looked at the survey information from the Welsh Government you could say what the population was at the time that the survey was taken.
Be understandable by the user
This means that if you had to give information to another person you must assure that the information is in a format that is understandable by the reader. An example of this would be that if you as an IT manager had to give the head of the company an update on the computer systems within the business if you did this using lots of technical terminology then he wouldn't understand making the information useless to him. The information must relate to the user so that they can understand the information better.
