Hybrid Records and Retention Rules
Hybrid records are records that are part paper based and part electronic health record. They are a common occurrence due to the implementation of the electronic health record. Many facilities have not gone to the complete form of the electronic record and must keep partial portions of the medical record in paper form. The hybrid record is a step up from the all-paper record in many ways. It allows countless points of access and provides users access to the stored information in a more timely fashion. A hybrid record is a good option of those facilities that are smaller or who have physicians who are unwilling to change to the completely electronic record. A hybrid record can eliminate some of the storage that is needed to house full sized medical records... Regarding the records of minors, they must be retained until the minor’s 23rd birthday, or for a period of ten years, whichever occurs later. When reviewing the retention policies of Willow Bend Hospital, the records that are retained are kept for the maximum amount of time to be lawful according to the state of Missouri. As per the Missouri Statutes Chapter 9, “No records can be destroyed until the meet the minimum retention period listed in this manual.
