Prioritising tasks is the key to efficiency. By keeping a To-Do/Priority List ensures that my tasks are written down all in one place eliminating the chance of overlooking anything important. By prioritising my tasks, I also plan the order in which I do them, so that I can readily tell what needs my immediate attention, and those tasks that I can leave until later.
* Delegate effectively
Delegation is an essential skill for leaders and managers. Effective delegation reduces my workload and builds the morale of the individual to whom I’ve delegated and the overall team. It allows me to focus on key priorities whilst at the same time the person undertaking the delegated task will feel more confident and increase their skills base.
‘Effective delegation is about delegating an outcome rather than dumping a problem on someone else’. I also benefit from the experience, wisdom and thoughts of the person to whom I’ve delegated.
* Hold and participate in effective meetings
Meetings involve a great deal of managers and their team’s time. I attend a number of meetings both internally and externally on a regular basis and know the importance of effective meeting management. Unfortunately a large number of these, in spite of having Agenda’s and time frames allocated to items, are managed poorly if at all. This adds a layer of frustration to many of those participating to the extent that the value of attending is questioned.
Being aware of what doesn’t work and that which can work better is only part of being an effective meeting manager. Planning and participating in meetings that are short, relevant, stick to the Agenda, have purpose and produce tangible outcomes or actions is effective time management.
