1. When organising a business event, describe the range of support activities that may be required.
When you are arranging an event there are a number of different factors that need to be covered to ensure that your event is successful, in the lead up to the event the following will need to be arranged:
• Organising a venue: You will need to look for a suitable venue, ensure that your chosen venue is cost-effective and suitable for your type of event.
• Equipment: Getting the appropriate equipment and determine the appropriate size example: PA systems, computers and screens for any PowerPoint presentations stages and portable toilets.
• Sending out invitation: Contacting attendees and inviting them to the event.
• Preparing documentation: This could include things such as: promotional brochures, invitations, menus and conference packs in order to give the participants an opportunity to interact and exchange information and ideas about a topic.
• Refreshments: Depending on the type of event and the time that it is being held refreshments could be anything from teas and coffees or a whole meal.
• Arranging for a speaker or host: Depending on the type of event such as a conference or seminar, the speaker is usually the focal point of the whole event you will need to check the speakers availability and fees and arrange for them to attend.
