1. When organising a business event, describe the range of support activities that may be required.
First of all event should be carefully planned –what is the subject of event and how big the event is going to be; who is it for (what sort of people, what subjects included); when to held an event; amount of people to participate in the event, approximate budget.
A very important part is to choose the right people who will be responsible for particular tasks such as finding and securing the right caterers, accommodation for those attendees who travel from abroad or further away from the place where event is being held, organizing administrative work (brochures, reading materials, badges), necessary accessories (flowers, decorations, posters, signage etc.) and entertainment if needed, finding the right speakers/lecturers for the event, organizing travelling information and transport.
From there the following steps would be to find and arrange an appropriate venue with necessary permits and insurances and also to ensure they have the right conference facilities including disabled access, that they can supply necessary equipment and maybe even refreshments.
Next step should be invitations – ordered and sent out with enough time reserve for people to plan their time for this event. Those should also include all the necessary information such as: day/days timetable/s, transport, accommodation if necessary, food requirements, and special needs requirements.
Important part of every event is equipment (computers, screens, microphones, projectors) – to check beforehand if it is in a working condition. To arrange a specialist to be around when and if necessary changes/improvements need to be done to improve the quality of pictures, sound etc. or to fix a problem.
