1.1 Explain reasons for knowing the purpose of communication
When communicating, you must know why you doing it and the purpose for the communication, it could be a brief message, general information briefing you must be able to know how to interpret the information. It is important to know why you are communicating, so you can find out the information that is needed or what they need to know. Whenever you are communicating it must be clearly laid out , so the information is passed correctly.
1.2 Explain reasons for knowing the audience to whom the communication is being presented
When you know the audience of which you are communicating with it is easy to know how to use the acceptable type of communication. So that the person understands what you are saying, not using to many technical terms with someone who will not understand them
1.3 Describe different methods of communication
These are some of the different types of communication:
Emails – used to instant response with anyone worldwide
Telephone – can speak long distances to people
Face to face – can show people what you are trying to say or show them with facial expressions
Reports – to show how the business is doing in different areas
Presentations – used to show people pictures, sounds, graphs to help present the business as a whole
Notice boards – to give information to wide group of people at the same time
1.1 Describe when to use different methods of communication
Emails – ideal when there is a lot of information that is needed to be shared, .e.g. file transfer. Quick and effective way of communicating. Can reply using email. Accessible wherever you are, particularly useful for home working. Can reach a group of contacts at the same time.
Telephone – ideal for instant answer, when they answer the phone
Face to face – ideal for building customer and business
