• What – what is the communication about? If it is a webinar do you need technical assistance should anything do wrong with the technology? Do you need a subject matter expert? What is needed? Fo you need to book a room which has a screen or will attendees sit at their individual PC/laptop screens? Do any documents need to be circulated via email ahead of the meeting?
• When – what time will the meeting take place, will it be convenient for everyone for example people that work part time, people in different time zones, holiday seasons?
• To whom – who are you going to send the outcome of the meeting to? Does any of the action need to be run past people that were not at the meeting? Who will the communication effect?
• Which model o Cascade – who needs to attend? Who is going to present the communication?; What is needed?; Where is the cascade going to happen?, Is it sensitive information? Does a room need to be booked?; What time are you going to do this?, Should you avoid certain times to increase attendance such as not at lunchtime?, is it compulsory attendance or an open …show more content…
Are handouts required?, What time is the meeting going to be and which location is it going to be held at?, Does the meeting need to be on a certain date for example following an announcement?; Who is the outcome of the discussion/meeting going to be sent to?, Are there any actions from the meeting/discussion or it is just a feedback session or a Q&A session.
1.7 Explain ways of overcoming barriers to communication
Some of the ways to overcome barriers to communication are:
Make presentations visual to encourage people to be more engaged; Ask questions so people know they have to listen; have backup technology in case the first one fails; find out ahead of the event it there are any special requirements of the attendees for example is a translator or sign language person needed? Have some talking bullet points in case there is a lack of discussion; Ask people what they think as they may be too shy to speak up without being asked. Make sure the message is direct and to the point.
