7Cs of Communication
What is communication? According to the National Communication Association, communication defined as a diverse discipline which investigate by the social scientist, social humanist and the critical as well as the cultural studies scholars (National Communication Association, n.d.). Academic studies and theories of the communication, the interpersonal communication in various forms, is introduce and explain in textbooks, electronic publications, academic journals. Communication which through the use of signal, writing, speech or behavior with each other to exchange or communicate thoughts, ideas, information or message. The use of language skills in the most effective and simplified way to convey information, make people more vulnerable to understand the information that the sender conveyed. In any business communication, in order to make it effectively, it must have seven quality. These seven properties are called 7Cs effective business communication which are correctness, clarity, …show more content…
conciseness, completeness, consideration, concreteness and courtesy. The 7Cs of business communication is a useful way to guarantee a well communication. It proffer a useful checklist which the use and learning of 7Cs could effectively improved the professional business communication skills and allowed the listener could be more easily to understand the sender's intention way. George state that effective business communication with concise language to get the point across completely and in a manner, to encourage effective action (George, n.d.).
Correctness means that in business communication is could not exist the grammatical errors. It ensure that the transmitted to the recipient information without grammar and spelling errors, and there is no defect or the form of word usage. Misunderstanding would reflect undesirability on the professional and contribute to problems with interpretation. In the correctness of communication, the information is accurate, correct and timely. If the communication way is correct, it would enhance the confidence level of their own. The correct message make impact on the audience or readers more greater. It would be the facts and figures used in precision and accuracy check message. It makes the information of the speech could be used properly and correctly. In short, correctness in message helps in building confidence.
Clarity in 7cs business communication means that when doing the communication sender need to use more clearly, short and simple language for the receiver. The use of accurate, appropriate and specific words to express a clear information could make the receiver more easily to understand what the information that the sender wanted to convey. By avoiding parentheses and keeping to the point, the receiver will get a clear picture of the content of the message. The sender must be straight to the point and did not add some that not very important message. This might make the receiver more difficult to understand the information that the sender wanted to convey. In short, clarity makes comprehension easier.
Conciseness means lengthiness. Conciseness is necessary to communicate effectively. Avoid writing long sentences, communicate with fluff or flowery language could be hard to follow or lead to talk downright nonsense. The workplace is not a displaying creative communication skills or dramatic place. Convey information need to pay attention to simple, less use of words to express your views and accurate as possible. It could save time and also make the cost saving. It emphasizes and highlights the main message and avoid the use of excessive and unnecessary words. Simple communication to provide short-term and necessary message in the limited space of the audience. Concise information is more attractive to let the audience to understand and it could not be repeated. In short, conciseness saves time.
Completeness means that the sender needed to give the full information to the receiver. If it is complete information, it might not missing any information when giving the information to the receiver. A complete communication always gives additional information wherever required. It leaves no questions in the mind of receiver. When the sender gave complete information it might help the receiver easily to make the decision. A complete information could persuade the receiver. Communication is an art; it is to draw a complete picture, it is important to understand all the facts and circumstances. Communication should be accurate and honest. It is the people recognize things, they don't know and admit it, trying to find the answer and forward (Goldberg, 2012). In short, completeness brings the desired response.
Consideration means preparing every message with the message receivers in mind; try to put oneself in the place of receiver while composing a message (Murphy et al, 1997). It refers to "You" attitude, focus on positive happy fact, the reader's question, desire, emotion and reaction. An effective communication must consider to the audience perspective which the audience's point of view, background, ideology, education level and everything. Try to envisage the audience, their requirements, emotions and problems. Ensure that the audience's self-esteem is subject to maintain and their emotion is not be hurt. Modify the message in order to adapt to the needs of the audience, and to make the message arrives smoothly and completely. In the consideration which offered audience with commiseration and manifest interest in the audience. Optimistic about the performance to the audience. Accentuate on "What is possible" rather than "what is impossible". Emphasizing the positive words such as happy, commitment, thank you, warm, healthy, help and others. For example, the choice of the language would influence the audience that they would be receptive to hearing and easily to understand the message. In short, consideration implies understanding of human nature.
Concreteness means that the sender need to use a clear way to convey the message.
The sender could not use the vague way to communicate. This help the sender could make more clearly for the sender and build the reputation. The use of words in sentence structure can make out appropriate information reflected in more specific ways. The right to use the word could let the information more concrete and the receiver would easier to understand the information. This can let the receiver nothing was left to the imagination. Explain more clearly, the concrete would be not misinterpreted by the receiver. Using the suitable word, that could be more supported specific facts and the figures. In short, concreteness reinforces
confidence.
Courtesy in message indicate should show the sender’s expression and must respect to the receiver when communicating. The sender's message should be sincere and polite, wise, reflection and enthusiasm. Courtesy means considering the recipient's views and feelings, to show respect. A polite communication is positive and focused on the audience. When communicated, always think of the feelings and views of the receiver. If encounter a rough or rude, would be achieve the goal of professional communication chances. In short, courtesy strengthen relations.
In conclusion, plays a vital role in everyday communication, whether it is personal life or in the workplace. The importance of effective communication could not be ignored. Communication can take place in different forms. It could be verbal or nonverbal. When communicates with other person, knows the seven C’s of the business communication and using it, it would help to become a better communicator.
